Invitation letter and visa

Registered participants receive an official invitation letter to support their visa application.

IASTEM provides official conference invitation letters to eligible participants whose registration and payment have been completed and verified.

An invitation letter confirms the participant's invitation to attend the conference. It may be used as supporting documentation for a visa application; however, it does not guarantee visa approval.

How to Request an Invitation Letter

To request an invitation letter, registered participants must email the following documents to info@iastem.org:

  • Completed Conference Registration Form
  • Proof of Registration Payment
  • Recent Passport-Size Photograph
  • Clear Copy of Passport

Please ensure that all submitted information is accurate and matches your official travel documents.

Invitation letters will be issued after verification of the registration details and payment and will be sent by email.

Visa Information

Participants who require a visa are advised to begin the application process well in advance of the conference.

IASTEM has no control over visa processing times or decisions made by embassies, consulates, or immigration authorities. Participants are solely responsible for meeting the applicable visa requirements and obtaining the necessary travel authorisation.

In the event of a visa refusal or delay, IASTEM cannot overturn the decision or intervene in the visa adjudication process on behalf of the applicant.

Visa

The organising committee can help with the visa process only by providing the conference invitation letter. The letter does not guarantee that your visa will be approved, and the committee cannot change a decision by an embassy, consulate or visa centre, or correspond with them on your behalf.

  • The invitation letter is issued after your registration is complete.
  • Your name must appear exactly as it does in your passport. A different spelling can delay or prevent your visa.
  • The registration fee is not refunded if your visa is refused. You can switch to online participation instead.
