Refund and cancellation policy

When registration fees can be refunded or transferred, and how refunds are processed.

This policy is part of the IASTEM rules and regulations. Please read it before you register.

When no refund is given

  • A participant who arrives at the venue after the reporting time may not be allowed to take part, and the fee is not refunded.
  • If an author decides not to take part (in person or online) and cancels the registration, the fee is not refunded.
  • Fees are not refunded to participants who attended the conference (in person or online) or who received the proceedings, a journal, or a presentation, participation or listener certificate.
  • No refund is possible after an official conference invitation letter or visa invitation letter has been issued.
  • No refund is given if the event changes between in person and online. All IASTEM conferences are hybrid, and the organiser may hold an event in either format.
  • No refund is given if a visa is refused. You can switch to online participation instead.
  • No refund is given if a paper is not selected by a journal, or if a journal rejects it after its second review.

Travel and booking costs

IASTEM is not responsible for any financial loss from ticket cancellations or other bookings if a conference is cancelled, moved to another place or date, or held online.

When a refund is approved

  • If IASTEM management approves a full or partial refund, email the refund form to the conference coordinator.
  • The refund is paid to the same account or card used for the registration.
  • Approved refunds are processed one week after the conference.
