A. Paper submission and publication
- Papers must be original and must not be published elsewhere before or after the IASTEM conference.
- All authors and co-authors must inform or get permission from their head of department, principal or supervisor before submitting a paper to an IASTEM conference.
- All authors and co-authors must give their correct affiliation in the paper.
- The organising committee may not accept papers submitted after the last date of registration.
- IASTEM accepts a paper for a conference after peer review by two internal or external IASTEM reviewers.
- IASTEM may publish the email addresses of authors and co-authors online.
- After registration, IASTEM can add, change or remove an author's name in the paper only with the permission of all authors and co-authors.
- IASTEM never publishes a paper that has not been registered.
- IASTEM is not responsible for identifying the original author or co-author of a paper. The person who submits the paper is taken as its original author.
- If IASTEM receives a complaint about authorship and finds it to be true, the paper is removed from online publication immediately.
- A paper or abstract that has been suspended cannot be republished by IASTEM from the date of suspension.
B. Attending IASTEM conferences
- All participants must register and pay the fee shown on the registration page of the conference before coming to the conference.
- Participants should check the official conference page regularly for the latest information.
- IASTEM may change the venue or the date at any time before the conference. Registered participants are informed by email.
- Participants must not be involved in any kind of violence inside or outside the venue, before or after the event.
- Participants must bring their original ID card. Without it, they cannot attend the conference.
- If conference kits run short, IASTEM sends the kit by courier after the conference.
- All IASTEM conferences are held in a hybrid format. The organiser may hold an event in person or online.
Cancellations and refunds are covered in the refund and cancellation policy.
C. Publication in proceedings and journals
- IASTEM may select papers from its conferences for publication in international journals.
- At the author's written request, IASTEM can submit a paper to an associated journal indexed in Scopus, Web of Science, Ei or SCI. The author pays the journal's full publication cost. Review and publication take at least three months.
- Fees paid to attend a conference are not refunded if a paper is not selected by a Scopus or SCI indexed journal, or if the author decides not to publish in a journal after the conference.
- For publication in an associated journal, the author must extend the conference paper by at least 20%.
- The second review for associated journals takes 25 to 60 days after the conference.
- All associated journals have an ISSN.
- Authors pay for printed copies of a journal.
- The editorial board may reject a paper for journal publication after the second review. In that case the conference registration fee is not refunded.
D. Plagiarism policy
The plagiarism policy makes sure authors give due credit to other authors and protects the integrity of the research community.
- All papers are checked with plagiarism detection software. Papers that do not meet the criteria are sent back to the author for changes.
- If plagiarism is found just before publication, the author may resubmit the paper after the changes the editor asks for. If the editor finds the plagiarism serious, the paper is not considered further.
- If plagiarism or a fake identity is suspected after publication, the paper is removed from the website until it has been checked. If only a few paragraphs are affected, the author may correct the paper and it is restored after the editor's approval.
- If the plagiarism or fake identity is serious and violates the copyright of others, the paper stays removed, the author is blacklisted by IASTEM and other conference organisers, the removal is noted on the journal website and the indexing services are informed.
- Republishing one's own earlier work (self-plagiarism) is treated in the same way.
E. Visa support and invitation letter
- IASTEM does not contact embassies or consulates for participants. IASTEM may confirm a registered participant's details when an embassy asks by official email.
- Participants are responsible for getting their visa and for following all immigration and travel rules.
- The invitation letter is issued only for attending the conference. It is not valid for immigration, employment or residence.
- The letter may support a visa application but does not guarantee approval.
- IASTEM is not responsible for visa refusals, delays or related costs.
- A changed or misused invitation letter is invalid and may lead to the cancellation of conference participation.
- By accepting the invitation letter, the participant agrees to follow international travel laws, the conference policies and ethical standards.
- Legal action may be taken against anyone who falsifies or unlawfully uses an IASTEM invitation letter.
